Ontario licensed childcare centres must track staff-to-child ratios, vulnerable sector screenings, first aid certifications, immunization records, and annual fire drill logs. Most centres manage this in binders and spreadsheets, and one missed renewal can trigger a compliance order posted publicly on the CCEYA registry.

Childcare and tutoring businesses deal with recurring payments from dozens or hundreds of families, and many still rely on cheques, cash, or manual e-transfer tracking. Bounced payments, partial payments, and families who 'forgot' create hours of bookkeeping and awkward conversations every billing cycle.

Parents text, email, call, WhatsApp, and DM on Instagram, often sending critical information like allergies, pickup changes, or absence notices through whichever app is open. Staff check five platforms and still miss things because nothing is centralized or searchable.

“A Vaughan daycare worker wrote up a toddler's playground scrape on a sticky note, planning to transfer it to the official form later. The sticky note disappeared, and when the parent asked for documentation a week later, there was no record.”

Ontario childcare regulations require written incident reports completed and signed within 24 hours, with parent notification. When staff are handling 15 children and an incident happens at 4:45 PM, the paperwork often gets done from memory the next morning, or not at all. Missing reports become a serious liability if a parent escalates.

“A Hamilton dance studio owner promised a spot in her Saturday kids' hip-hop class to a parent at a birthday party in November. By January registration, she had no record of it and the class filled. The parent left a one-star Google review.”

Tutoring centres, dance studios, and daycares manage enrollment through verbal promises, email threads, and handwritten lists. Without a proper waitlist system, spots get double-booked, promised families get forgotten, and operators have no visibility into demand to plan new classes or hire staff.
